General Terms & Conditions

Failure by the client to follow these terms and conditions can result in additional fees. Our staff will exclusively communicate with an assigned member of your party to plan and organize the event. This practice streamlines planning and ensures best communication.

Deposit, Payment, and Cancellations Policy

  • Upon booking, a 25% deposit is due. Payment in full is due 6 weeks before your event date, an email notification will be sent. A late fee of $50 will be applied after 5 days of nonpayment. After 10 days of nonpayment, the event will be canceled.

  • Events scheduled 6 weeks in advance or less require full payment upon booking; simply paying the deposit is not sufficient to complete the reservation.

  • A full refund can be given within 3 days of a reservation booking, as long as it is more than 8 weeks before the event.

  • After 3 days, the 25% deposit is non-refundable. Any additional payments made may be transferred to future rentals within 6 months of the cancellation date.

  • Refunds are no longer given less than 30 days before an event, they may be transferred to a future event date within 6 months of cancellation date.

    Damage Policy

  • Any missing or damaged property will be the full responsibility of the client; Replacement or repair costs will be at the owner’s discretion.

  • By signing our agreement when you book, you authorize the venue to keep your card on file and charge it in the event of damaged property.

Event Start and End Policy

  • A required $65 cleaning fee includes the setup of all seating arrangements and other details as determined in conjunction with our professional event planner.

  • Only Lake Ida staff will be allowed to move any furniture.

  • Time for setup and client cleanup/teardown must be included in your purchased rental time frame.

  • Client cleanup must be completed by the rental's end time.

  • A staff member will approve the client’s cleaning upon event ending.

  • All guests must vacate the building by the rental’s designated end time.

  • Renters who do not leave by the scheduled end time will be charged at the hourly rental fee.

  • All events must end by 11 pm. Client cleanup may extend until Midnight, with a maximum of 10 people remaining to clean up and close.

Client Cleaning & Tear Down

  • Clients are expected to bag all trash (bags are provided) and place trash in large green trash cans outside the south end of the building (near the kitchen).

  • Floors and tables must be wiped clean of party trash or spills.

  • Any decorating/set-up items must be removed by the end of the scheduled rental time.

Parking

  • The parking lot has ~30 spaces. Do not park in the grass at the north end of the building.

  • Additional parking is available along the right side of the public dead-end street, Mayflower Court, located directly across from Lake Ida Events.

  • It is the renter’s responsibility to ensure that emergency vehicles can freely enter and exit the parking lot during an event.

Use of Venue Spaces

  • Art Studio – can be added to hourly rentals for an additional charge, or is included in full-day rentals.

  • Banquet Space – can be added to hourly rentals for an additional charge, or is included in full-day rentals.

  • The kitchen and office are not available for guest use; they are for staff only.

Audiovisual

  • WiFi and Bluetooth audio are included with all rentals (no microphone or mixer is included).

  • A smart television (on a rolling stand) is available for an additional cost.

  • The Lake Ida staff will not provide tech support.

Other Rules

  • The client may not rearrange furniture and tables during an event.

  • Glitter or mylar confetti is not permitted on the property.

  • Faux flower petals are not to be scattered directly on the deck (for weddings).

  • Bubbles and Sparklers are allowed in the parking lot area only under staff supervision, and the client assumes the risk of injury to guests. No other fireworks are permitted. Sparklers should be properly extinguished (in water or sand) and cool before being placed in the trash.

  • Hot serving containers are not be placed directly on any furniture (must use hot pads or trivets).

  • Art and other decorative items may not be removed from walls or shelves without staff supervision.

  • Nails may not be added to any part of the building (inside or outside) for decorating purposes.

  • Open-flame candles may be used, if encased in glass, with staff permission.

  • No smoking is allowed inside the building or on the deck. Cigarette disposals are located on the outside of the deck gates and in front of the building.

  • Fishing is not allowed in the privately owned lake.

  • Any drug use or illegal activity on the premises will be prosecuted.

Alcohol Policy

  • Clients may serve wine and/or beer to adults, age 21 or older if they have notified Lake Ida staff prior to the event (no hard liquor will be allowed). The client must acknowledge that the serving of alcohol carries potential risks and dangers beyond the control of Lake Ida Events & Fine Arts. As the responsible party, the client assumes all liability for all participants and guests; they will acknowledge a policy in advance stating so.
